Pointbunny Guide: POS for Oregon Cafes
The complete guide to Pointbunny, the POS for Oregon cafes and coffee shops: setup, checkout, tips, screens, inventory, staff and reports.

Introduction
Pointbunny is a point-of-sale app built for cafes and coffee shops, and it works just as well for restaurants, bakeries and bars. It runs in the browser on the phone, tablet or laptop you already own, so there's no special hardware to buy and nothing to install.
We built Pointbunny with Oregon in mind first, from Portland's independent coffee shops to the coffee carts in its food-cart pods, and it works in every state. This guide walks through everything Pointbunny does, in the order you'll meet it: setting up, taking orders, getting paid, the screens your kitchen and customers see, receipts and tax, your menu and stock, your team, loyalty, and reports. If you're deciding whether Pointbunny fits your shop, it's the whole picture in one place. If you've already signed up, use the headings to jump to what you need.
Why Pointbunny is the best POS for Oregon cafes
Oregon is one of five states with no statewide sales tax, and most POS systems are built around charging one. Pointbunny reads your address and recommends No tax for Oregon, so your prices are your totals and your receipts are right from the first sale.
It also fits the way Oregon cafes actually run:
No hardware bill. Run your register on the iPad or tablet you already have. That matters at a coffee cart in a food-cart pod as much as at a busy Portland counter.
Tips done properly. Customers pick their tip on the customer display, and Timesheets splits each day's tips among the people who worked it, by hours.
Built for small, independent shops. A free plan to start, $19 a month for everything, no contract and no per-terminal fees.
Keep your card reader. Pointbunny records payments rather than processing them, so you're not tied to a payment provider's rates.
Outside Oregon? Pointbunny works in every state. Choose Tax added at checkout, enter your combined state, county and city rate, and mark tax-free items like whole beans as exempt. Tax is then added last, only on taxable items, on every receipt. Shops in Washington, California or anywhere else get the same app.
Getting started
You can go from sign-up to your first sale in minutes.
Create your account at app.pointbunny.com with your email or Google.
Tell Pointbunny about your business. Your country sets your currency automatically, and your address lets Pointbunny recommend how to handle sales tax where you are.
Build your menu. Add categories (Coffee, Tea, Pastries) and items with prices, then give each item a photo or an emoji. Add option groups like size, milk or extra shots, and the price updates on its own. Have a menu in a spreadsheet already? Import it as a CSV, preview it, and save it in one go.
Follow the Getting Started checklist on your home screen. It walks you through receipts, tax and your team.
Try a practice sale. The built-in tutorial rings up a pretend order from start to finish, so you can learn checkout without recording anything real.
Pointbunny works on any modern browser: an iPad at the counter, an Android tablet, a laptop, even your phone. Everything syncs between devices in real time, so a second register or a kitchen screen is just another browser tab.
Taking orders and checkout
The order screen is built for the morning rush: tap a category, tap an item, pick its options, and it's in the cart.
Photos or emoji. Switch the item grid between photos and emoji tiles. Emoji are faster to scan when you're busy.
Dine in or takeout. Mark each order with one tap (or turn this off if it doesn't apply to you).
Discounts and promo codes. Apply a promo code, or add a one-off discount or fee to a single receipt. Fees and discounts you charge every time, like a service charge, apply automatically.
Manager overrides. When a cashier's role doesn't allow something, a manager approves it on the spot (see below).
Loyalty at the till. Look up a regular by phone number, or enroll a new one in seconds.
Getting paid
Pick how the customer pays and Pointbunny records it:
Cash: enter the amount handed over and the change is worked out for you.
Card: charge it on your own card reader, and Pointbunny records the sale as paid in full.
QR: your payment QR (Venmo, Cash App, PayPal, Zelle and so on) pops up full-screen on the customer display for them to scan.
Pointbunny records payments; it doesn't process cards itself, so you keep the card reader and the rates you already have. Before anything is saved, you see a preview of the exact receipt, so you can go back and fix an order.
Tips
Turn on tips in Settings and checkout gains tip buttons: your three percentages (15%, 18% and 20% by default), Custom, and No tip. The cashier can pick one, or tap Let the customer choose on the display to put an "Add a tip?" screen in front of the customer, with a keypad for a custom amount. Their choice appears on the register straight away.
If you also take tips through Venmo or Cash App, upload your tip QR and it shows next to the buttons. Tips are never taxed, print on the receipt as a separate line, and are kept out of your sales totals because they belong to your team.
Switching cashiers
Your team shares one register without anyone logging out. Tap the cashier name at the top of the screen, pick who's taking over, and they enter their 6-digit PIN. From then on, every sale carries their name.
Staff who haven't clocked in are greyed out, so nobody rings up sales off the clock. The owner can always step in.
Each receipt shows who served the customer, and Pointbunny also keeps a record of which account was signed in, for your own records.
Forgot your PIN? Reset it right there with your account password, without signing anyone out.
Manager overrides
Roles decide what each person can do. When a cashier hits something their role doesn't allow, Pointbunny asks for a manager's approval instead of blocking the sale:
One-off discounts and fees on a receipt
Voiding a sale, and restoring a voided one
The manager enters their own email and password on the spot, and the cashier carries on. The approver's name is saved with the sale in Activity for your records; it never prints on the customer's receipt.
The screens: kitchen, customer and pickup
Every screen opens from the Screens menu and runs in its own browser window, so a spare tablet, monitor or TV can become any of them. They update live as orders come in.
Screen | Who looks at it | What it does |
|---|---|---|
Kitchen display | Your baristas and kitchen | Shows each order as a card with a timer that turns yellow, then red, as it waits. Tap Ready, then Done, and it clears from every screen. |
Customer display | The customer at the counter | Mirrors the order and total as you ring it up, shows your payment QR, and puts up the "Add a tip?" screen. Between orders it shows your own promo image (Pro). |
Pickup board | Customers waiting for their order | A big-screen board of ticket numbers in two columns: Preparing and Ready for Pickup, with an optional ad panel. |
The same live queue also sits on your home screen, with ticket numbers to call out. If you run more than one register, pair each customer display to its own terminal number so two tills never show each other's orders.
The kitchen display
Every sale lands on the kitchen screen as a ticket with its number, items, options and dine-in or takeout. A timer on each ticket turns yellow, then red, as the order waits; you choose those thresholds in Order Queue Timers. Tap Ready when a drink is up, then Done when it's collected. Marked something done by mistake? Undo it within 10 seconds. You can also have forgotten orders clear themselves after a set time.
The customer display
Put a tablet or monitor facing the customer and they watch their order build as you ring it up, with the running total. Choose QR at checkout and your payment QR fills the screen. Ask for a tip and they get the "Add a tip?" screen. When it's quiet, the display shows your own promo image on Pro, or a small Pointbunny ad on Free. Running two registers? Set each display to its terminal number and it only ever shows that till's orders.
The pickup board
Hang a TV where customers wait and it shows ticket numbers in two columns: Preparing and Ready for Pickup. When a barista taps Ready, the number slides across, so customers know their drink is up without anyone shouting names. Add your own ad panel beside the board on Pro.
The queue on your home screen
The home screen keeps the live order queue in view too, so the register can mark orders ready or done. It also shows how the day is going: orders completed, the longest wait, and your busiest hour so far.
Receipts, tax and printing
Sales tax
Pick one of three tax modes in Receipt & Tax, and Pointbunny suggests the right one for your location:
No tax: for places like Oregon with no sales tax.
Tax added at checkout: the US norm. Enter your combined rate (state, county and city), and tax is added last, only on taxable items. Mark items such as whole beans as tax-exempt and they're left out.
Tax already included: for countries where prices include VAT or GST. Your prices stay the same and the receipt shows how much of the total is tax.
Receipts
Every receipt carries a sequential receipt number and lists any fees, discounts, tax and tip on their own lines. You choose whether to show the ticket number, the cashier's name and your phone number. On Pro you can replace "Thank you for your purchase!" with your own message and add a QR code that links to your review page or Instagram.
Printing
Print through your device's normal print dialog (including AirPrint on iPad), or pair a Bluetooth thermal printer for fast, crisp 58 mm or 80 mm receipts. If a receipt doesn't come out, reprint it from Activity; the sale is never recorded twice.
Menu, inventory and purchase orders
Your menu
The Catalogue holds every item. Set an item to active, inactive, or unavailable for the day, and sold-out items drop off the order screen until you bring them back. Select several items at once to change their status or remove them in bulk.
Inventory (Pro)
Inventory tracks what you have on the shelf and updates itself as you sell:
Simple counts or ingredients. Track a bottled drink as a plain count, or link a latte to the espresso, milk and cups it uses, with different amounts for each size.
Automatic updates. Every sale takes stock off, and a void puts it back.
Alerts. Items show as low or out of stock on the order screen, so you're never caught out mid-rush.
Stock counts. Do a count, enter what's really there, and Pointbunny records the difference.
Suppliers and purchase orders. Keep supplier contacts, build a purchase order, send it, and when the delivery arrives, receive it with one tap to add everything to stock.
Your team
Staff and roles
Invite staff by email; each person sets their own password and PIN, so nobody shares a login. Start with the built-in roles (Admin, Manager, Cashier) or create your own, then choose exactly what each role can do, from voiding sales to seeing reports. Cashiers switch in and out of the register with their PIN, and every sale records who rang it up. When a role isn't allowed to do something, a manager can approve it on the spot instead.
Time clock and timesheets (Pro)
Set up a tablet by the door as a time clock: staff clock in, take breaks and clock out with their PIN. The Timesheets panel then shows every shift and the hours per person for any week, month or custom range, ready to export as CSV or PDF for payroll.
Staff can ask for a correction if they forgot to clock out, or request a vacation or sick day, and you approve or reject each with one tap.
Tip pooling (Pro)
The Tips section of Timesheets splits each day's tips among the people who worked that day, by the hours they worked. Choose which roles share the pool; the owner is never included, because US law doesn't allow owners or managers to take from an employee tip pool. You'll see each person's share, a day-by-day breakdown, and a warning for any day with tips but no finished shifts. Export it all as CSV.
Loyalty (Pro)
Turn regulars into repeat visits without an app or a punch card. Customers join with just a phone number at checkout, and points add up automatically on every sale.
Your rules. Set how many points each dollar earns, and what points are worth.
Two ways to redeem. Customers can cash points in for money off, or for a free item from your rewards list (a free latte at 100 points, say). Both can be used in the same sale.
Streaks and birthdays. Pointbunny tracks daily, weekly and monthly visit streaks, and shows a birthday banner on the customer's big day so you can treat them.
Customer list. See every member's points, visits and notes in the Loyalty panel.
Reports and Activity
Your home screen
Today's sales, transactions and average serving time sit at the top of your home screen, each compared with yesterday, alongside a live feed of what's happening in the shop.
Activity
Activity is your money in and out. Browse every sale with its items, payment method and receipt number, log expenses, and see gross revenue, expenses and net income for any period. Tips get their own card, kept separate from revenue. A voided sale stays on record with its number, so your books always add up. Export any period as a CSV for your accountant.
Reports (full reports on Pro)
Reports turns your sales into answers:
Overview: gross income, net income, transactions and average order on one chart. Tap the cards to choose what's plotted.
Sales: best sellers, category and item mix, staff performance, and tips over time.
Traffic: your busiest hours and days, so you can staff and stock smarter.
Queue: how long orders take from till to pickup.
Channels: dine-in vs takeout, and cash vs card vs QR.
Use the arrows next to the date to step back a day, week, month or year, tap Today to jump back, or put two periods side by side with Compare.
Everything else that makes it easy
Guided tutorials. Every panel has a ? next to its title that walks you through it, and the first-sale tutorial uses a practice order that's never saved.
Notifications. A bell at the top flags purchase orders that are due, shift corrections and time-off requests waiting for you.
Who's on shift. A bubble on the home screen shows who's clocked in right now.
Keep numbers private. Hide today's sales figures from staff who don't need to see them.
Two-factor sign-in. Add a code from an authenticator app to your sign-in for extra security.
Light and dark mode. Pick whichever is easier on your eyes behind the counter.
Help when you need it. Contact support or report a problem from the Help panel inside the app.

Frequently asked questions
Do Oregon cafes need to charge sales tax in Pointbunny?
No. Oregon has no statewide sales tax, so Pointbunny recommends No tax for Oregon addresses and your receipts show your menu prices as the total. If you ever move to a state with sales tax, switch your tax mode to Tax added at checkout.
Do I need special hardware?
No. Pointbunny runs in the browser on the phones, tablets, laptops and TVs you already have. A receipt printer is optional.
Does Pointbunny process card payments?
No. You keep your current card reader and its rates, and Pointbunny records each payment as cash, card or QR so your numbers add up.
Does it need an internet connection?
Yes. Pointbunny saves every sale to the cloud, which is what keeps your registers, screens and reports in sync.
Can I use it outside the US?
Yes. Your currency is set from your country, and tax handles both US-style sales tax and prices that already include VAT or GST.
Is my data secure?
Each person has their own login and PIN, roles control what staff can see and do, and you can turn on two-factor authentication for your account.
